New in Playtomic: Private-to-Public Match Conversion
If you’ve booked a private court but are missing players, you can now convert your booking into a public match. This allows other players from the Playtomic community to discover and join your game, helping you complete your match instead of having to cancel.
Who can use this feature?
This feature is available for:
- Tennis and Padel bookings only
- Both Split Payment and Single Payer bookings
- Bookings where all invited players have:
- A Playtomic account
- A Playtomic level
- Paid their share (for split payment bookings)
How to convert your booking
Before converting, make sure all players you’ve already invited meet the requirements above.
Once you convert your private booking to public:
- Your match becomes visible in the Matches marketplace
- Other players can join your match
- Your court assignment remains the same
- You cannot convert it back to private
Important rules to know
Cancellation policy changes
When you convert to public, the cancellation rules change:
Important: Once you convert your booking to public, you cannot cancel without paying for the court, even if you don’t find enough players.
Before the last 24 hours
If the match is NOT full:
- Owner: You cannot leave. If you converted the booking, you’re responsible for payment.
- Players invited before conversion: Can leave and receive a refund (booking fee not included for split payment).
- Players who joined after conversion: Can leave and receive a refund (including fee for split payment).
If the match is full:
- Same rules as above apply.
In the last 24 hours before the match
New rule: Once the match is full and you’re within 24 hours of match time, no one can leave the match.
If the match is NOT full:
- Owner: You cannot leave.
- Other players: Can leave and receive refunds according to the rules above.
If the match is full:
- No one can leave the match (owner or joiners).
- No refunds will be issued.
Joining fees
- Single Payer bookings: No fee required for joiners (the owner pays the full court cost).
- Split Payment bookings: New joiners pay the standard booking fee.
What happens if the match isn’t full?
If your match doesn’t fill up by match time:
- The match is not automatically cancelled
- You’ll see a message in the Match Detail view
- For players who joined after conversion: Contact the owner to confirm if the match is still happening
- Payment: The owner will be charged for empty spots. Players who joined after the conversion will receive a refund 2 hours after the scheduled match time.
What you cannot do after converting
- Convert back to a private booking
- Remove players who joined your match
- Cancel without payment (if outside cancellation policy)
Tips for success
- Convert your booking as early as possible to give players time to find and join your match
- Communicate with players through the match chat
- Make sure your booking details are clear and accurate
This feature is going to be released progressively to a small number of players and then to all the players during the week. If you still don’t see the feature in your app, please wait for it to be released to you.
FAQs
Q: Can all private bookings be converted?
A: No. Some scenarios block the conversion:
- If there are no open slots left
- If any player used “Pay at the club” or Cash as a payment method
- If the club does not allow Open Matches
- If the sport type is not Tennis or Padel
Q: How do I convert my booking?
A: From the booking details screen, select the “Convert to Public Match” option (CTA). Once confirmed, your match appears in the Matches marketplace.
Q: Is there a cost to convert?
A: No. The switch is free of charge.
Q: What happens to the booking level when I convert?
A: All matches converted from private to public are automatically assigned a level range of 0–7.
Q: How do payments work after conversion?
- Single Payer: The owner covers the full court cost. New joiners don’t pay any fee.
- Split Payment: New joiners pay the standard booking fee.
Q: Do cancellation policies change when I convert?
A: Yes. Once you convert to public, the cancellation rules are stricter:
- You, as the owner, cannot cancel without paying, even if not enough players join.
Q: What if the feature isn’t showing in my app yet?
